WA POS ("we", "our", "the Service") is operated by Cybex Innovation, Bangalore, India. This policy describes what information we collect when you use WA POS, how we use it, and your rights.
1. What we collect
- Account information — business name, owner name, WhatsApp number, optional email.
- Sale data — orders, items, prices, customers (only those you add), staff actions.
- WhatsApp messages — inbound order messages routed through Meta's WhatsApp Business Cloud API; outbound replies sent through the same channel.
- Technical data — IP address, browser type, login timestamps, audit logs.
- OTP codes — short-lived 6-digit codes for sign-up and login. Auto-expired after 10 minutes.
2. How we use it
- Provide and operate the Service (record sales, send WhatsApp replies, generate reports).
- Authenticate you via WhatsApp OTP.
- Improve the Service and detect abuse.
- Send transactional WhatsApp messages (order confirmations, OTPs).
3. Third parties we share data with
- Meta Platforms (WhatsApp Business Cloud API) — to deliver and receive WhatsApp messages.
- OpenAI — when AI features are enabled, your message text and product names are sent to OpenAI to interpret intent. We do not send WhatsApp message identifiers or your customer database.
- We do not sell your data to advertisers.
4. Data location & retention
Servers are hosted in India. We retain account and transactional data while your account is active and for up to 7 years thereafter to comply with Indian tax and accounting requirements. You may request earlier deletion (subject to legal obligations) by emailing us.
5. Cookies
We use a single first-party session cookie ("waposid") to keep you signed in. No third-party tracking or advertising cookies.
6. Security
Passwords (where applicable for super admins) are stored using bcrypt. Communication is over HTTPS. WhatsApp tokens are stored encrypted at rest. We log access to sensitive operations.
7. Your rights
- Access — request a copy of your data.
- Correction — fix wrong information from the dashboard or by emailing us.
- Deletion — request closure and deletion (subject to retention requirements above).
- Portability — export orders and customers as CSV from the Reports page (Pro plan).

8. Children
The Service is not intended for individuals under 18. Do not use it if you are a minor.
9. Changes to this policy
We may update this policy. Material changes will be notified via WhatsApp message to your registered number or via a dashboard banner.
